Zoom integration
Last updated: July 2026.
SmartEmails is an AI email assistant for Gmail and Outlook. The Zoom integration lets you schedule a Zoom meeting directly from any email in your inbox: pick a time, and the Zoom join link is created on your own Zoom account and embedded in the calendar invite sent to your recipient. No copy-paste, no separate Zoom tab.
Requirements
- A SmartEmails account with a connected Gmail or Outlook mailbox.
- A Zoom account — any plan works (Free, Pro, Business, Enterprise).
Connect Zoom (one-time, ~30 seconds)
- Sign in to SmartEmails at app.smartemails.ai.
- Open Dashboard → Integrations.
- On the Zoom card, click Connect.
- You are redirected to Zoom's consent screen. Review the permissions and click Allow.
- You are sent back to SmartEmails — the Zoom card now shows your connected Zoom account email.
Each user authorizes the integration individually (user-managed OAuth). No Zoom admin setup is required.
Schedule a Zoom meeting from an email
- Open any email in SmartEmails (or the Chrome extension sidebar in Gmail / Outlook web).
- Click Schedule meeting.
- Choose Zoom as the meeting type — you can also pick Microsoft Teams, Google Meet, or in-person.
- Pick a date and time.
- SmartEmails creates the meeting on your Zoom account and sends the calendar invite with the join URL already embedded.
Permissions we request — and why
| Scope | Used for |
|---|
| meeting:write | Creating a Zoom meeting on your behalf when you schedule one from your inbox. |
| user:read | Reading your Zoom account email once, after you authorize, to link it to your SmartEmails account. |
We never read your existing meetings, recordings, or Zoom chat. We never access other users' data, and we never store meeting content.
Data & privacy
- OAuth tokens are encrypted at rest (AES-256-GCM) and stored in the EU.
- All Zoom API calls happen server-side over TLS; tokens are never exposed to the browser.
- See our Security, Privacy and Subprocessors pages.
Disconnect / revoke access
- From SmartEmails: Dashboard → Integrations → Zoom → Disconnect. This deletes the stored tokens.
- From Zoom: zoom.us → sign in → App Marketplace → Manage → Added Apps → remove SmartEmails.ai.
Troubleshooting & support
- “Zoom account needs re-authorization” — your Zoom grant was revoked or expired; click Connect again.
- The meeting was created but the invite lacks a join link — reconnect Zoom, then schedule again.
- Anything else: email contact@smartemails.ai — we reply within one business day.
